Reasons to use Report For Doc and how it works

What are typical response rates?
Typically, 5 to 30% of patients who receive the invitation card respond to the survey. For example, if a doctor sees 10 patients on a typical day, he/she will typically have between 30-180 responses by the end of the quarter.
Are my results confidential and secure? Is my personal information protected?
Yes, absolutely! Your individual results are NOT public and are shared solely with you. We store your information in a secure and redundant database. We employ encrypted, authenticated communication protocols on our website to ensure data protection. We also hire independent technology safety companies to regularly test our security and privacy standards. Be sure to keep your login and password always secure. For our billing processes, we have partnered with PayPal (a leading online payment processor) to provide you a payment gateway with an international reputation for security and fraud detection.
Who can use Report For Doc?
Report For Doc offers its services to healthcare professionals in the USA. Our services were originally developed for physicians and we are now also offering them to dentists and other health professionals (see list of specialties). While some members are in private practice, others are in group medicine, hospitals or academia (some are residents or students).
What aspects of my performance are evaluated? What is the standard questionnaire?
The questionnaire focuses on the most important aspects of your performance, including the patient's experience with doctor, staff and facilities. It was designed to maximize response rates from patients and it is relatively short - most people can complete it in 5 to 10 minutes. It also measures waiting time and length of visit according to patient’s perception. And naturally, patients can write spontaneous comments.
Is it possible for me to experience the patient survey (i.e. supposing I am a patient, I want to take a fictional survey)
Yes, you’re our guest! We invite you to experience what the patient does when responding to a survey. Go to our home page and enter the code 1234 1234 1234 1234 in the patient’s section – you will then be given access to respond to a survey for a fictional doctor. Go ahead and answer whatever you want until you reach the end of the survey.
How do you compare my performance with other professionals? What if my specialty or metro area is not on the list? Will my report always have comparisons in my specialty and region?
When you sign up, you are asked to select your specialty and metro area from a list. The specialty and metro area you choose is used SOLELY to compare your results with other professionals in that same specialty and metro area. Hence, if you do not find your exact specialty or metro area in the list, we suggest you select the ones that are closest to yours. We are constantly reviewing this list, and we will add new specialties and metro areas when appropriate. If you have suggestions to add a specialty, please send us a message. The comparison feature in the quarterly reports allows you to assess your competitive position in your specialty and region, while keeping your results confidential. Naturally, the more members we have in your specialty and area, the more significant the comparison is.

Please note that we may not have a minimum critical mass of professionals of the same specialty in your area. If this is the case, your report may not have all comparisons shown in the illustrative report. However, you will be able to see other valuable comparisons (e.g. your specialty nationwide or statewide). And, as soon as the minimum critical mass of professionals in your specialty and area is reached, we will include the appropriate comparisons in your report. Please refer us to your colleagues and help us provide comparisons in more regions and specialties.
How can I increase response rates? How can I make the most of the services offered by Report For Doc?

We suggest the following simple actions to make the most of your membership:

  • If your staff will distribute the cards to patients, please remind them to do so.
  • We recommend placing the survey invitation cards somewhere easily visible to you or to your staff, so you consistently remember to hand them out to patients.
  • The code on the card will allow patients to evaluate only you (i.e. the doctor whose name appears on the card; the code will not allow patients to provide feedback to a different doctor). Please ensure that you distribute cards only to your patients (and not to patients of a different doctor). Also, remember to distribute only one card per patient and/or coordinate with your staff to do so.
  • To increase responsiveness:
    1. at the end of the visit, ask the patient to complete the survey;
    2. remind patients that they will have a chance to win a sweepstakes by completing the survey;
    3. If you are handing out papers to the patient, attach the card to the front of the papers.
Most doctors feel that the actions above suffice to obtain a reasonable level of responsiveness. That said, we have a few members who have made the following suggestions to help maximize response rates:
  • Set up a computer (often netbooks) with internet access in the medical office and ask patients to provide feedback before they leave your office.
  • Instruct your assistants to collect email addresses from patients during a visit. Then, at the end of the day or week, have the assistant send an email to the patients with a reminder to take the survey and a link to www.reportfordoc.com.
May I suggest some questions to be added to the questionnaire?

What is a survey invitation card and why do we need one? How does it look like?
Survey invitation cards are the same size as a standard business card (3.5 x 2.0 inches). Each card has a unique 16-digit secure code that allows the patient to access our secure website and respond to the survey. The secure code identifies you and ensures one response per patient visit; i.e. it prevents random people from accessing the website and taking surveys. We will automatically ship you a number of these cards quarterly accordingly to your plan. Please click here to see a sample survey invitation card.
How are cards shipped and how long does it take for them to arrive? Can I re-order cards if I run out of them?
As soon as you sign up, we print the survey invitation cards and ship them via UPS or Fedex. Typically, you will receive them within 5 to 8 business days. Thereafter, we will ship cards quarterly automatically – the number of cards we ship will be according to your plan.

If you need extra cards at any time, you can order online for a fee of $85 per each 1,000 extra cards (to cover the extra printing and shipping costs). If you find yourself regularly running out of cards, you may want to consider switching to the plan with 2,000 cards per quarter.
Are patients’ survey responses anonymous?
Yes. Patients’ specific responses are not shared with doctors. Doctors can only see the aggregate results of the survey and they can also read the anonymous comments that patients provide. Hence, unless a patient includes her/his name in the comments, the doctor will not know the author of the comment. If a patient decides to enter into the sweepstakes, the contact information is used only to contact the winners. Please see our Privacy Policy for more details.

I am not receiving emails from Report For Doc. What should I do?
Our emails are sent from member@reportfordoc.com, so please be sure you add this email to your address book or "friends" list to ensure you receive our communications. This is true especially if you use Hotmail, Yahoo, AOL or a similar service that has aggressive spam filters and may improperly detect our messages as spam.
I cannot open the file attachment with the quarterly report. What should I do?
The report is provided as a file attachment in .pdf format (you will need to have Adobe Acrobat Reader to open the file – you can download Acrobat Reader for free directly from Adobe’s website here).
